WhatsApp as the interface for field staff: why you don't need an app

Every new app for field staff dies within a month. The interface already open on their phone is the right one.

An organization with hundreds of field staff, drivers, branch employees, technicians, arrives with the same problem: the knowledge sits at headquarters, and the questions come from the field. The usual solution is an app. It gets built, launched, and dies within a month because nobody opens it.

The interface that is already open

WhatsApp. Open on every employee's phone, all day. If the answer to "what is the procedure for returning a damaged product" arrives there, within ten seconds, from the approved procedure, the employee will ask again tomorrow.

How it works

An organizational WhatsApp number. The employee sends a question. An agent identifies who they are and their role, searches the approved procedures, and answers citing the source. When there is no approved answer, it escalates to a person and tells the employee it did.

What headquarters gets

A monthly list of the questions that keep coming back. That is the most accurate map of procedure gaps and training gaps the organization has. No survey will give it to you.

What to protect

Answers only from approved procedures. Never "to the best of my knowledge". And escalation to a human is the rule, not the exception.

How many questions from the field reach the same two people at your headquarters today?

Got a process that's blocking the organization? Let's open it.

30 minutes. No selling, no slides. We map the first step together and check whether there is ROI here.

This is what a Tuesday morning looks like, three months after we start:
  • The procurement manager doesn't type orders. She approves them.
  • The shift manager gets a brief at 6:50, before he walks onto the floor.
  • The IT person answers questions. He is no longer the bottleneck.
